How does Excel to PDF lay out your table?
The PDF uses landscape A4 pages with 12 mm margins, your file name as a bold heading and the cells in 8-point Helvetica with a thin border around each. Row 1 is printed in bold as the header and is not repeated on later pages. Columns share the 273 mm table width equally, whatever their widths were in the spreadsheet: five columns get 54.6 mm each and eight get about 34.1 mm.
Text that does not fit a column wraps, up to four lines per cell, and the rest is cut off. In an eight-column table, the note 'Payment received from customer for invoice number 2041 dated 3 March including freight and handling charges and GST' keeps its first four lines and loses 'and handling charges and GST'. Shorten long notes, or convert fewer columns so each one gets more width.
How many rows and columns can you convert?
Only the first 90 rows, header included, and the first eight columns, A to H, are converted, so a sheet with a one-row header prints at most 89 rows of data. A sheet with 250 rows and 12 columns comes out as 90 rows of columns A to H, and the status line reads 'Converted 90 rows to PDF'. When every cell fits on one line, those rows fill four pages: 22 on the first page under the heading, then 23, 23 and 22. To print a longer sheet, save it as several CSV files of up to 90 rows, each starting with the header row, convert them one by one and join the PDFs with Merge PDF.
Why do dates show up as numbers like 46113?
The converter prints the raw values stored in the file and ignores number formats. Excel stores dates as day counts, so 1 April 2026 prints as 46113. Percentages lose their format too (18% prints as 0.18), currency symbols and thousands separators disappear ($1,250.00 prints as 1250), and TRUE and FALSE print as 1 and 0.
To print values as they look on screen, save the sheet as CSV from Excel or Google Sheets and convert the CSV, because CSV export writes the displayed text. The CSV must be comma-separated; a file that uses semicolons ends up in a single column. Helvetica has no rupee sign, so a cell containing ₹ prints as garbled characters. Switch such cells to a format with Rs. or no symbol before exporting.
